Control which teachers appear in schedules and customer-facing areas by managing their active or inactive status. This is how you handle breaks, seasonal teachers, and transitions without losing their data.
Active vs Inactive Teachers#
Active teachers can be selected for new classes and appear in customer-facing teacher views. Inactive teachers are removed from active scheduling and customer-facing views, while their teaching profile and existing records remain available in the admin area.
Finding teaching profiles by status#
The Teaching Team page has separate Active and Inactive tabs so you can review the right set of profiles.
Deactivating Teachers#
Use this for teachers taking breaks, seasonal instructors during off-periods, or when someone leaves but you want to keep their records.
To deactivate a teacher:
- Go to the Teaching Team page (Admin > Teachers)
- Open the teaching profile you want to change
- Open the actions menu
- Select Deactivate. Selecting it changes the status immediately.
When you deactivate a teacher, they disappear from customer-facing views and are not available when you assign a teacher to new classes. Review upcoming classes and assignments after changing the status.
Reactivating Teachers#
To reactivate a teacher:
- Go to the Teaching Team page (Admin > Teachers)
- Open the inactive teaching profile
- Open the actions menu
- Select Activate. Selecting it changes the status immediately.
They become available for new scheduling and customer-facing views again. Their existing records remain in the admin area.
What Changes When You Deactivate#
When you deactivate a teacher, here's what happens in different areas:
- Scheduling: Not available when assigning a teacher to new classes
- Customer visibility: Hidden from customer-facing teacher views
- Teaching Team: Listed under Inactive and still available to open in admin
- Existing records: The teaching profile and its records remain available in admin
Before You Deactivate#
Take these steps to avoid issues:
- Check their scheduled classes and upcoming assignments
- Inform your team about the status change
- Update any marketing materials that mention them
- Communicate with customers about schedule changes if necessary
Common Scenarios#
Seasonal teachers: Deactivate during off-seasons, reactivate a few weeks before classes resume.
Maternity leave: Deactivate on the leave start date, set a reminder to reactivate when they return.
Role transitions: If a teacher moves to management but stops teaching, deactivate their teacher profile.
Common Issues#
Status change not saving: Check your permissions and internet connection. Refresh and try again.
Inactive teacher still showing to customers: Double-check that the teaching profile is marked Inactive, then refresh the customer-facing page.
Can't find a deactivated teacher: Make sure you're looking in the Inactive tab and refresh the page. Check if any filters are hiding them.
