Teacher Payout Calculator

Calculate teacher compensation with flexible payment models

Calculate teacher compensation based on classes taught and attendance. Access it from Admin > Payroll > Create.

Payment models#

Pay per class#

Teachers receive a base amount per class. You can enable an attendance bonus to add pay after a threshold, or leave the bonus off for a fixed amount.

Example: Base £40, threshold 5, bonus £3/student. Class with 8 counted students = £40 + (3 × £3) = £49.

Revenue share#

Teachers earn a percentage of class revenue. Configure:

  • Class value: Amount used for each eligible booking
  • Teacher percentage: Their share (e.g., 60%)
  • Tax treatment: Calculate share before or after tax

Example: Class value £15, 8 bookings, 60% share = £15 × 8 × 0.6 = £72.

Configuration priority#

Rates are applied in this order:

  1. Class-specific: Custom rate for a single class instance
  2. Tag-based: Rate for classes with a matching tag. When more than one tag has a rule, Naayya uses the configured payout priority. A class-specific rule takes precedence over tag rules.

The calculator warns when an eligible class is missing a matching payout rule.

What counts toward pay#

A class enters the payout calculation when it has at least one confirmed booking and is not archived or cancelled. The amount then depends on the payment model and its no-show setting.

  • With Pay per class, the base amount applies to the class. If an attendance bonus is enabled, attended students and, when configured, no-shows contribute to the bonus.
  • With Revenue share, cancelled bookings are excluded. No-shows are included or excluded according to the rule's no-show setting.

Review the class breakdown and rule configuration before generating a payslip.

Excluded classes#

Classes are excluded from payout when they have:

  • No confirmed bookings (all cancelled/pending)
  • Archived or cancelled status

Excluded classes don't appear in the table by default. Check Show excluded to see them greyed out with the reason.

Using the calculator#

  1. Select a teacher and Payroll Month
  2. Review the class breakdown and totals
  3. Use Exclude Classes to remove specific classes from the calculation
  4. Click any row to customize payment configuration

Tag configurations#

Set up payment rules for groups of classes by tag.

  1. From Payroll, click Pay Rules
  2. Select a tag and choose Pay per class or Revenue share
  3. Set rates and attendance options
  4. Choose Effective From when needed, then click Save Configuration

For classes with multiple tags, the configured payout priority determines which tag rule applies. A class-specific configuration takes precedence over tag rules.

Substitutes and teacher changes#

Pay is calculated based on who actually taught the class, not who was originally scheduled. When a different teacher covers a class:

  • The substitute teacher gets paid for teaching
  • The originally scheduled teacher does not receive pay for that class
  • Historical records show both who was scheduled and who actually taught

Generate payslips#

After reviewing the calculation:

  1. Click Generate Payslip in the summary panel
  2. Use Print or Download PDF to review the generated document
  3. Click Save to Payslips, then access saved payslips from the Payroll page
