Use booking activity to understand what a customer booked, whether attendance was recorded, and what happened when a booking was cancelled. You can review one customer's activity or all bookings for the selected business.
Open a customer's bookings#
- Go to Admin > Customers.
- Search for and open the customer.
- Select View Activity.
- Select the Bookings tab.
The activity view groups recent events by time. Select Load older when you need older activity. Select All to see bookings alongside payments, refunds, memberships, passes and packs, gift cards, reviews, and waivers.
For a business-wide view, open Admin > All Bookings. The page has Classes and Appointments tabs. The Classes tab shows the selected month's class bookings, and the month controls include Today when you are viewing another month. Use Prev and Next to move through pages.
Business-wide booking access depends on your role and permissions. If All Bookings is not available, ask a business owner or manager to check your access.
What booking history can show#
Booking records may include:
- Class or appointment name
- Date and time
- Teacher, provider, location, or resource
- Booking status
- Attendance status
- Product or credit used
- Cancellation status
- Payment or checkout context
- Attribution details, when available for your plan
The exact details depend on the booking type and the information recorded for that booking.
Common booking statuses#
| Status | Meaning |
|---|---|
| Confirmed | The booking has a place. |
| Cancelled | The booking was cancelled. The table identifies whether it was cancelled by the customer or by an admin when that information is available. |
| Pending | The booking is still waiting for completion or a final status. |
| Attended | Attendance was recorded as attended. |
| No Show | Attendance was recorded as a no-show. |
If a booking is cancelled, the Cancellation Notification column can show the notification status when it is tracked. A missing notification record means the delivery status is not available in this view.
Check credits and bookings together#
When a customer says their credits are wrong, review the relevant activity and product records together:
- Open the customer and select View Activity.
- Use Bookings, Passes & packs, Payments, and Refunds to narrow the activity.
- Check the class or appointment, booking status, attendance, and the product or credit used.
- Compare the booking and cancellation dates with the applicable booking or cancellation policy.
Paid, booked, attended, and credited are separate outcomes. Check the record that matches the question before changing a credit, product, or payment.
Use booking history for customer support#
Booking history helps answer:
- Did the customer make a booking?
- Was attendance recorded?
- Was the booking cancelled, and by whom when shown?
- Which product or credit was associated with the booking?
- Is the question about a specific class, appointment, date, or payment?
If the question involves a refund, credit, cancellation, or notification, verify the current record and the relevant policy before promising an outcome to the customer.
Troubleshooting#
A recent booking is missing#
Check the selected business, the Bookings activity filter, and whether more activity is available through Load older. For business-wide class bookings, check the month and page controls. A booking can also be associated with a different customer record or business.
A booking used the wrong product#
Review the booking and the related product or pass. Confirm that the product covers the class or appointment and that the customer is allowed to use it. For shared or family memberships, check the customer's access rather than only the purchaser's record.
Attendance looks wrong#
Compare the booking's attendance status with the class session and the teacher's attendance workflow. If it still looks wrong, ask the person responsible for attendance to review the session record.
A cancellation did not behave as expected#
Check when the cancellation happened, the booking status, the relevant booking policy, and any credit or payment activity. The Cancellation Notification column shows a delivery status only when one is tracked; it is not proof that a customer read a message.
