Booking policies let you set the cancellation rules shown and applied in your business. The page separates customer policies from teaching staff policies.
Open policies#
Go to Admin > Settings > Policies.
You need owner or manager access to change these settings.
Customer cancellation policies#
Open the Students tab. The page groups the available controls by the type of activity or offer:
- Drop-in & class packs: Cancellation deadline, Refunds enabled, and Custom message.
- Memberships: Cancellation deadline, Credit back enabled, and Custom message.
- Workshops, when your business has workshops: an option to Use a separate workshop policy, followed by the same types of controls for the workshop.
- Courses, when your business has courses: an option to Use a separate course policy, followed by the same types of controls for the course.
The Programs section has its own controls: Cancellation preset, Access ends, Policy text, Customers can request cancellation, and Approve requests automatically. The preset options include Before the next session, Stop at the next payment, After a notice period, and Full commitment. When you choose a notice period, the page also shows a notice-period field.
Use the custom message or policy text fields to explain your business's rule in the wording customers will see.
Teacher cancellation policies#
Open the Teaching Staff tab. The page includes:
- Allow teaching staff cancellations
- Minimum notice
- Max enrollment threshold
- Require admin approval
- Message to teaching staff
The page also links business-wide staff roles to People > Staff. Use that area for staff access and roles; use this tab for the cancellation settings.
Before saving changes#
Before saving, check that the selected product section, deadline, toggles, and message match the rule you want your business to use. If you changed teaching staff settings, check the Teaching Staff tab separately before saving.
