A class series is a recurring class with a run of scheduled sessions. This guide covers the current controls for managing a series, adding future sessions, archiving it, and removing eligible sessions.
Courses also have a schedule, but their sales setup is different. For that distinction, see Workshop vs Course: Which One Should You Use?.
Accessing class series settings#
- Go to Admin > Classes.
- Open the class series you want to manage.
- Open the three-dot menu in the top right.
The menu includes Class Settings, Edit Group Details, View Schedule Patterns, Edit Future Instances, and Extend Series. Archive controls are in the same menu; an archived series shows Restore Series.
Filtering classes#
The Classes page provides filters to help you find a class series.
Active and archived tabs#
At the top of the Classes list, switch between:
- Current: classes in the current list, including rows marked Draft when they are not published.
- Archived: classes that have been archived.
Use the tab that matches the status you need to manage. The current product labels these tabs Current and Archived.
Category filter#
Use the category and class type filters on the Classes page to narrow the list. Category chips use the color assigned to each category. To manage categories and their colors, go to Admin > Settings > Categories.
Show archived in calendar#
Archived classes are not shown on Admin > Calendar. To find an archived series, go to Admin > Classes and open the Archived tab.
Editing series details#
You can edit the series name and subheading directly from the class page:
- Open the class series.
- Select the pencil control beside the series name or subheading.
- Update the text.
- Select Save in the inline editor.
Series end indicator#
The class page shows a badge for the series end date. The current labels include:
- Ends [date] when the series has a future end date.
- Ends in X days when the end is within the next 14 days.
- Series ended [date] when the end date has passed.
When a series is nearing its end, use Extend Series if you want to continue its schedule.
Extending a series#
You can add future classes to a recurring series from its class page.
Steps to extend#
- Open the class series.
- Open the three-dot menu in the top right.
- Select Extend Series.
- If the series has more than one schedule pattern, select the pattern to continue.
- Choose whether to add a number of occurrences or extend through an end date.
- Review the preview, including any conflicts shown by the dialog.
- Select Add N classes to create the displayed sessions.
The extension continues the selected recurring pattern forward. If the dialog asks you to complete missing class setup or resolve a conflict, do that before confirming.
Quick extend from schedule patterns#
You can also extend one pattern from the schedule patterns view:
- Open the three-dot menu on the class series.
- Select View Schedule Patterns.
- Find the pattern you want to continue.
- Select Extend this pattern and complete the extension dialog.
What gets created#
The preview shows the sessions that will be added and the pattern used for them. Review the dates and any conflicts before confirming. The extension adds sessions going forward; it does not fill in earlier dates.
Archiving a class series#
Archiving changes the series to an archived state in the admin list. The current class page provides a restore action for an archived series.
When you can archive#
The Archive Series action can be unavailable while future occurrences still need to be retired or cancelled. If the menu shows Retire or cancel future occurrences first, resolve those future occurrences before trying again.
Steps to archive#
- Open the class series.
- Open the three-dot menu in the top right.
- Select Archive Series.
- Read the confirmation dialog.
- Confirm the archive action.
From the classes list#
You can also archive from the Classes list:
- Go to Admin > Classes and open the Current tab.
- Find the class series.
- Open the row action menu.
- Select Archive and follow the confirmation dialog.
Restoring an archived series#
You can restore an archived series from the Archived list.
Steps to restore#
- Go to Admin > Classes.
- Open the Archived tab.
- Open the series you want to restore.
- Open the three-dot menu in the top right.
- Select Restore Series.
- Confirm the restore action.
From the classes list#
You can also restore directly from the Classes list:
- Open the Archived tab.
- Find the series.
- Open the row action menu.
- Select Restore and follow the confirmation dialog.
Deleting sessions#
Deletion works per session. In the class page's Schedule section, select sessions with the checkboxes and choose Delete from the action bar. Read the confirmation dialog before continuing: the current dialog identifies which selected sessions are eligible for deletion.
When you can delete#
The Delete action is available only for sessions the current dialog marks as eligible. Check the selected dates and the warning before confirming.
When you cannot delete#
Sessions with booking history can be blocked from deletion. If a selected session is blocked, follow the action available in the class page instead of trying to delete it.
Before deleting#
Deletion is permanent in the current confirmation dialog and cannot be undone. If you may need a session later, consider archiving the series instead. To stop extending one recurring pattern, open View Schedule Patterns and select Retire pattern. Retired patterns offer Restore pattern when you need to use them again.
Archiving vs deleting#
Use Archive Series when you need a reversible status change and may want the Restore Series action later. Use Delete only when the selected sessions are eligible and you are sure you do not need to recover them.
The two actions operate at different levels:
- Archive Series changes the series state and is paired with Restore Series.
- Delete removes selected eligible sessions permanently.
Common questions#
Why don't I see the archive option?
The archive action can be unavailable while future occurrences still need to be retired or cancelled. Check the message beside the disabled action, resolve those occurrences, and try again.
How do I find an archived class?
Go to Admin > Classes and select the Archived tab.
Why is the delete option blocked for some sessions?
The current product blocks deletion for sessions with booking history. Check the Schedule selection and use the action available for that session.
Can I recover deleted sessions?
No. The current delete confirmation says the action cannot be undone. Use archive when you may need the schedule later.
How do I add sessions using one recurring pattern?
Open the class series menu, select View Schedule Patterns, and choose Extend this pattern for the pattern you want to continue.
