Templates let you reuse successful email designs for future campaigns. Build a library of go-to emails for newsletters, promotions, and announcements instead of starting from scratch each time.
Your template library#
Access templates at Admin > Templates. The library lists saved emails with their names, subject lines, last sent dates, and status. Active templates are ready to use, while archived templates are hidden from the main view until you choose Archived in the status filter.
Templates you save from the Email Designer appear here. The editor autosaves your work, and an email becomes available in the library when you choose Save and close.
Viewing templates#
Choose Preview for a template to review how it renders before you use, edit, or duplicate it.
Templates display in a sortable table. Sort by name, subject, or last sent date. Use the search box to filter by template name or subject.
Editing templates#
Choose Edit in a template's actions to open it in the Email Designer. Make your changes directly or through the Business Agent panel, review the preview, and save. The updated template is ready for your next campaign.
Editing a template doesn't affect emails already sent - only future sends use the updated version.
Duplicating templates#
Create variations of successful templates by duplicating them. Open a template's actions and choose Duplicate to create an exact copy. Naayya adds "Copy" to the name so you can distinguish it from the original.
Duplicate templates when you want to:
- Create seasonal variations of recurring emails
- Test different subject lines or calls to action
- Customize a general template for specific segments
Edit the duplicate independently without affecting the original.
Archiving templates#
Archive templates you're not using but want to keep for reference. Open a template's actions and choose Archive to move it out of the active list. Archived templates don't appear in the send campaign template selector.
Choose Archived in the status filter to view archived templates. Open a template's actions and choose Unarchive to make it active again.
Archiving keeps your template library organized as it grows. Archive seasonal campaigns after they're done or outdated designs you've replaced with better versions.
Deleting templates#
Delete templates you'll never use again by opening the template's actions and choosing Delete. This permanently removes the template and can't be undone. Deleting doesn't affect previously sent emails.
Only delete templates you're certain you won't need - consider archiving instead if there's any chance you'll reference it later.
Template status#
Templates have two library states:
Active: The email is available in the main library and can be selected for a campaign.
Archived: The email is kept in the library but hidden from the main view and campaign selector. Choose Archived in the status filter to view it, then open its actions and choose Unarchive to make it active again.
New work stays out of the campaign selector until you choose Save and close.
Best practices#
Name templates clearly: Use descriptive names that indicate content and purpose. "Weekly Newsletter - Yoga" is better than "Email 1."
Build a core set: Create 3-5 core templates for your most common needs - weekly updates, promotions, events, welcome emails. These become your starting points.
Update regularly: Refresh templates quarterly to keep designs current and reflect seasonal changes or new branding.
Archive old versions: When you update a template significantly, duplicate it first, then archive the old version. This preserves history while keeping your active library clean.
Use clear names: Include the audience or purpose in each name so you can find it quickly.
Quick template creation workflow#
- Go to Admin > Templates and choose Create Email
- Start with a blank email or library template, then edit it
- Save with a clear, descriptive name
- Go to Admin > Campaigns, choose New campaign, and select the saved email
Templates save time and ensure consistency. Your most effective email designs become reusable assets instead of one-time creations.
