Sending Quick Emails

Send a simple one-off message by reusing an email in a campaign

The older Quick Email action is not available in the current admin navigation. The current way to send a one-off message is to save an email under Admin > Templates, then send it from Admin > Campaigns.

When to use a simple saved email#

Use a simple saved email for straightforward messages such as class cancellations, schedule changes, quick reminders, or simple announcements.

For a more structured message, create and save the email in Admin > Templates before you send it through a campaign.

Simple saved email vs campaigns#

A simple saved email is useful for:

  • Last-minute schedule changes
  • Simple text announcements
  • Quick customer updates
  • Messages where speed matters more than design

Campaign email is for:

  • Marketing promotions
  • Newsletters with multiple sections
  • Emails with images and branding
  • Reusable template content

The campaign flow supports recipient selection, a preview, test sending, and a campaign result in Admin > Campaigns.

Sending a simple message#

Go to Admin > Templates and choose Create Email. Choose the simplest available starting point, write your message, and save the email. Then open Admin > Campaigns, choose New campaign, and select the saved email.

Write your message#

Enter a subject line that clearly states the purpose. "Class Cancellation: Friday 6pm Yoga" works better than "Update."

Keep the message brief and focused. Use the editor's preview to check spacing, links, images, and buttons before you save.

Send a test#

Before you leave the email editor, click Send Test Email and enter your email address. Check that the message looks correct and conveys your intended meaning before sending it to customers.

Select recipients#

Select Choose recipients to open the recipient picker:

Customers, Leads, and Staff: Use a tab to search for people by name or email, or choose Add all for the loaded group.

Segments: Open a saved segment and choose its members.

The recipient count shows how many people you've selected. The send result may differ if recipients are skipped or a send fails.

Send to customers#

Review the recipient count, saved email preview, campaign name, and subject, then click Send to [number] people and confirm with Send now. Sending cannot be undone. Read the result shown by the send flow for sent, skipped, or failed recipients.

Message formatting tips#

Keep it short: Simple emails work best for brief messages. If you need a more structured layout, start from a designed template.

Clear subject lines: Make the subject specific and clear.

Include contact info: End messages with how customers can reach you with questions or concerns.

Use proper spacing: Break text into short paragraphs for readability. Wall-of-text emails get skipped.

Test before sending: Even simple text messages benefit from a test send. Catch typos before customers see them.

Example use cases#

Schedule change:

Subject: Class Time Change - Thursday Pilates

Hi everyone,

Thursday's 7pm Pilates class is moving to 6pm this week only.
Same instructor, same great workout, just an hour earlier.

See you there!

Last-minute update:

Subject: Studio Closed Tomorrow - Weather

Quick heads up: We're closing tomorrow due to the storm.
All classes are cancelled and will be rescheduled.

Stay safe and we'll see you Thursday!

Simple announcement:

Subject: New Class Added - Saturday Morning Flow

We're adding a Saturday 9am yoga flow starting next week.
Book through the usual schedule - no package needed for your first visit.

Questions? Reply to this email.

Tracking the campaign#

The email appears in Admin > Campaigns alongside other campaigns. You can review:

  • Sent, delivery, opens, and clicks
  • The recipient list and sent time

Use the campaign summary and recipient list to review the result of the send.

Best practices#

Use the right format: Simple emails work well for occasional updates. Use a designed template for regular newsletters or promotions.

Set expectations: Use a clear subject and opening sentence so customers know why you are writing.

Include essential details: Who, what, when, where, and why.

Proofread carefully: Without design to carry the message, every word matters. Read twice before sending.

Consider timing: Send time-sensitive updates promptly. For promotional content, use a designed campaign.

Campaigns vs direct customer messages#

Campaigns send to multiple recipients through your marketing email system. For one-on-one customer communication, use the customer's profile page or your regular email client.

Use a campaign when:

  • Multiple customers need the same information
  • You want delivery tracking
  • The message relates to classes or studio operations

Use direct messages when:

  • Communicating with one specific customer
  • Discussing personal booking details
  • Following up on individual questions
